Fresh advisory details how thorough, searchable documentation enables RIAs to more efficiently reply to SEC and state audit inquiries.
PHOENIX, AZ, UNITED STATES, September 11, 2026 /EINPresswire.com/ — RIA Compliance Technology has issued fresh guidance aimed at helping registered investment advisers keep complete, searchable compliance documentation and handle SEC and state exam requests with greater speed.
The advisory targets a typical disconnect between record preservation and being ready for an exam. A firm might have carried out all the necessary compliance work, yet if policies, approvals, trade records, delivery evidence, and business communications live across shared drives, spreadsheets, inboxes, or personal devices, assembling a clear audit trail can turn into a laborious reconstruction exercise.
The core message is simple: being prepared for an exam requires not merely holding onto required records, but also being able to retrieve up‑to‑date, complete documentation the moment an examiner asks for it.
“Doing the compliance work is only half the job,” said Blake Bjordahl, President of RIA Compliance Technology. “When an examiner asks, the firm also has to be able to put its hands on the right record quickly. That is where good organization matters.”
For small and mid‑sized RIAs that operate lean compliance teams, recordkeeping shortcomings often build up slowly. A policy might sit in one location, its approval history in another, and related correspondence in yet another system. Each piece may look manageable on its own. The challenge becomes clear only when the firm needs to put together a complete response.
Off‑channel communications offer a common illustration. A client discussion that starts via an approved channel may later shift to text, social media, or another platform that is not captured in the firm’s archive. The rest of the firm’s documentation could be in good order, but the communication record still has gaps.
The advisory notes that changes in enforcement priorities do not relieve an RIA of its duty to keep required written business communications. Exam readiness depends on maintaining those records as part of routine operations, not on trying to recover them after an exam request arrives.
An exam‑ready compliance record should demonstrate that the work was performed and make the supporting evidence easy to locate. Having a current policy, for instance, is insufficient if the firm cannot also find its review history. The same idea applies across the entire compliance program. Required records ought to be kept in a manner that lets the firm produce them without having to retrace its steps.
This does not mean forcing every record into a single application. What matters is having a reliable process that prevents information from being lost between systems or needing to be re‑created later.
“Exam readiness really comes down to consistency,” Bjordahl added. “If the record is maintained as the work happens, the firm is in a much better position when a request comes in. You are retrieving what is already there instead of rebuilding the story afterward.”
RIA Compliance Technology built its platform around the everyday work that underlies an examination record. Simple Compliance Portal keeps compliance activity and its supporting documentation together. Firms can also employ Simple Email Archive for business communications and Simple Trade Monitor for personal trading records. Each solution can operate independently, or the three can function as a linked recordkeeping system.
The new advisory draws on RIA Compliance Technology’s recent coverage of examination document requests and off‑channel communication rules. Both resources are meant to help RIA leaders assess whether their current recordkeeping process will hold up when information must be produced quickly.
